Your Data, Zero Ambiguity
We collect only what’s needed to schedule, clean, and invoice. Nothing for speculation, nothing for sale. This is a practical policy for a practical business.
Quick Scope
- • Name, address, phone for service delivery
- • Payment details via secure processors
- • No third-party data sharing
What We Collect (And Why It Stays Here)
Contact Details: When you book a cleaning in Bogotá, we need your address, access instructions, and a phone number. This isn’t for marketing—it’s so our team can park, enter, and complete the job without confusion.
Payment Information: We use proven processors (MercadoPago or similar). We do not store credit card numbers or security codes on our servers. The processor handles the transaction; we keep only the invoice record.
Communication Records: Your WhatsApp messages and emails about scheduling, special requests, or damage reports are kept for quality assurance and dispute resolution. After 12 months, they’re purged automatically unless required for legal claims.
Physical → Digital: Our office team scans invoices daily. Digital records are encrypted; physical files are shredded after 30 days.
Failure Modes: Common Privacy Mistakes (And How We Avoid Them)
Most data leaks in service businesses come from poor habits, not hackers. Here’s our internal checklist.
Reusing Client Addresses for Ad Targeting
The Risk: Marketing tools pull your address to find "similar" neighborhoods.
Our Fix: We disable ad platform pixels on booking pages. Client data never leaves our internal CRM.
Unsecured WhatsApp Group Chats
The Risk: Adding all clients to a "Bogotá Cleaners" group exposes phone numbers to strangers.
Our Fix: 1-on-1 chats only. Team leads get job notes via secure internal app, not public groups.
Keeping Digital Keys/Access Codes Forever
The Risk: Storing apartment gate codes after a one-time deep clean.
Our Fix: Access details are auto-deleted 48 hours after job completion. Manual override for recurring clients only.
No Background Check on Cleaners
The Risk: A cleaner misuses client data seen on the job.
Our Fix: Every cleaner signs a confidentiality agreement and undergoes a local background check (Colombian CVC). Violation = immediate termination.
Questions to Ask (Before You Share Your Address)
Use this checklist when evaluating any cleaning service in Colombia. If they can’t answer these clearly, walk away.
Do you sell my data to third parties?
Answer: No. We have no data resale agreements. Revenue comes from cleaning services only.
How do you protect access codes?
Answer: Encrypted at rest, auto-deleted post-job, never shared outside the assigned team lead.
Is my card info stored on your site?
Answer: No. We use MercadoPago/PayPal. We only see the last 4 digits for verification.
Can I request data deletion?
Answer: Yes. Email [email protected]. We purge within 72 hours (except invoices required by DIAN tax law for 5 years).
Who sees my interior photos?
Answer: Only the management team for quality disputes. Never posted publicly without written consent.
What if a cleaner breaks confidentiality?
Answer: Immediate firing + legal action. We carry liability insurance for data breaches.
Do you use cookies for tracking?
Answer: Only essential session cookies for booking. See our Cookie Policy.
Method Note: How This Policy Is Evaluated
This document is reviewed quarterly by our operations lead and an external legal advisor (Colombian data protection law). We stress-test it against three scenarios: (1) a cleaner's phone is stolen, (2) a client requests full data export, and (3) a tax audit by DIAN. The policy is robust if it survives these without exposing unrelated client data. We update it when access patterns change (e.g., new apartment entry systems in Chapinero) or when new regulations (like GDPR-like local bills) are proposed. Current version is stable; no pending changes.
Enforcement & Practical Limits
We enforce this policy through restricted access: only the office manager and senior team leads can view full client profiles. Cleaners see only the job address, time, and special notes (e.g., "allergic to pine cleaner").
Legal Constraints We Operate Under
- Tax records (Factura Electrónica) must be retained for 5 years per DIAN.
- We are not liable for data breaches caused by client negligence (e.g., leaving door unlocked).
- Response times for data requests: 72 hours during business days only.
Questions or Requests?
For data access, correction, or deletion requests, contact our Data Protection Officer (the office manager). We require identity verification to prevent social engineering attacks.
